Who we are

Pralavo is a vehicle rental business operating from 22-44 Bath Lane, Bendigo VIC 3550, Australia. We rent compact cars and 4x4 vehicles to customers across central Victoria. This policy explains what personal information we hold, why we hold it, and what you can ask us to do with it. We review this policy when our booking system or our suppliers change. The version published on this page is the one that applies to your hire.

What we collect

We only ask for what the rental actually needs. Most of it comes from the booking form or the counter conversation, and some comes from the vehicle itself.

• Identity and contact details: your name, address, phone number, email address and date of birth.
• Licence information: licence number, class, expiry date and a photo of both sides of the card.
• Payment data: cardholder name and the last four digits of the card. Full card numbers are handled by our payment provider, not stored on our systems.
• Hire records: pickup and return times, kilometres driven, fuel level at handover and the condition photographs we take with you present.
• Communications: emails, web form submissions and notes from phone calls about your booking.

Why we use it

We use your details to confirm the booking, check that you are legally allowed to drive, take the bond, hand over the right vehicle and settle the final invoice. We also use them to contact you if a track closure, weather warning or vehicle issue affects your trip.

With your consent, we send occasional emails about new vehicles and seasonal rates. You can stop those at any time by replying with the word stop, or by using the unsubscribe link in the message. Marketing consent is never a condition of renting from us.

Who we share it with

We share the minimum necessary information with the businesses that help us run the rental. That means our payment provider for card processing, our insurer for claims, the workshops that service the fleet when a breakdown needs handling, and the relevant road authority if a toll, fine or infringement relates to your hire period.

We do not sell personal information. We do not pass your details to advertising networks. Where a legal request is made by police or a court, we provide what the law requires and tell you about it unless we are legally prevented from doing so.

Your rights, including under the GDPR

If you are in the European Economic Area or the United Kingdom, the General Data Protection Regulation gives you specific rights over your data. We apply the same standards to everyone who asks, wherever you are renting from.

• You can ask for a copy of the personal data we hold about you.
• You can ask us to correct anything that is wrong or out of date.
• You can ask us to delete data we no longer need, unless we must keep it for tax, insurance or legal reasons.
• You can object to marketing at any time, and you can ask us to restrict how we use your data while a query is resolved.
• You can ask for your data in a portable format and take it to another provider.

Send any request to pralavo@hotmail.com with the subject line privacy request. We reply within 30 days. If you are unhappy with our answer, you can complain to the Office of the Australian Information Commissioner or, in the EU, to your national data protection authority.

How long we keep it

Hire records, invoices and licence copies are kept for seven years to meet Australian tax and insurance obligations. Booking enquiries that never became a hire are deleted after twelve months. Condition photographs are kept for two years after the return date. Card authorisations are released within two business days of return, and the release reference is kept with the hire record.

We store everything on servers located in Australia and use encryption for data in transit. Access is limited to staff who need it to run the rental or handle a claim.
